Terms and Conditions – KNT Danceworks Children’s Classes


Introduction

To help you get the best out of KNT Danceworks and to understand our responsibilities to you and your responsibilities to us, please read the following Terms and Conditions (T&Cs) and associated policies. The language used should make these T&Cs as clear as possible.

The following terms and conditions exist to safeguard the wellbeing of our pupils and staff, and to ensure that KNT Danceworks continues to be associated with high quality teaching and enjoyment of dance.

KNT Danceworks reserves the right to refuse entry to classes if any of these terms and conditions are not complied with.

KNT Danceworks will review and amend its T&Cs and associated policies on a regular basis and advises parents/guardians and students to read this document thoroughly to ensure that a clear understanding is gained. Please contact a member of our team if you require further information.


Section 1 – General Information

1. These terms and conditions relate to KNT Danceworks, which has a physical location at the address below:

2. You can contact KNT Danceworks about children’s classes in the following ways:

Please note that calls may not be accepted during timetabled classes or events.


3. These Terms and Conditions apply to all children’s classes provided by KNT Danceworks, as well as the following events:

a. Workshops, performances, and shows

b. Exam training and exam entry

c. Private classes


4. If any additional terms or conditions apply to any of the children’s classes or events provided by KNT Danceworks we will endeavour to make this clear.


5. It is your responsibility to keep your account and contact details up-to-date in ClassForKids (the system we use for registration, booking, and payments).


6. It is your responsibility to ensure that the student’s details are correct in ClassForKids. KNT Danceworks does not accept responsibility for any errors when entering students for exams/adding names to show programmes etc.


7. KNT Danceworks communication is made via email, social media, and a WhatsApp broadcast-only group. Please ensure that you follow our KNT Danceworks Kids social media platforms and continue to check junk/spam folders for emails. If you would like to join the WhatsApp group, please get in touch.


Section 2 – Registration and Booking/Enrolment 

8. These T&Cs must be read carefully by the person completing the registration.


9. Registration must be completed before students attend any children’s classes offered by KNT Danceworks, including trial sessions.


10. Registration must be completed by an adult that is legally responsible for the student (such as a parent or carer) unless the student is legally responsible for themselves.


11. Registration does not automatically guarantee or reserve a place for a student in any classes or at any events – once registration is completed, all students must be booked/enrolled into a dance class in order to guarantee or reserve their place in the class.


12. Registration and booking/enrolment must be completed online via ClassForKids unless you are directed by KNT Danceworks to register another way.


13. Any medical conditions must be disclosed upon registration, and the responsibility falls on you as the parent/guardian to update us when necessary. It is imperative that we are always fully aware of any health implications, for your child’s safety and your own peace of mind.


14. You must agree to these T&Cs unconditionally before the student being registered can be enrolled into a dance class:

a. If you are unable to agree to these T&Cs you must not let the student attend any of the classes provided by or on behalf of KNT Danceworks.

b. If you agree to these T&Cs unconditionally you may let the student attend classes provided by or on behalf of KNT Danceworks subject always to these T&Cs.


15. For classes that offer trial periods:

a. If you would like the student to attend a trial period, you must complete the registration and book the student onto the relevant trial. Payment for the trial period must be made in advance of the first class.

b. After the trial period is over:

i. If the student does not want to continue attending classes after the trial period or wants to continue with some classes but not others, please contact KNT Danceworks via email within 48 hours of the end of the trial – failure to do this may result in you being charged for a full month.

ii. If the student wants to continue with all of the classes in the trial period, no further action is required – they will be automatically enrolled into the classes, and you will be charged the full monthly amount at the next payment date.


16. If you wish to make changes to a booking or enrolment or wish to cancel it entirely, please see Section 4 - Changes and Cancellations.


Section 3 – Attendance, Uniforms, and Discipline 

17. You are responsible for informing KNT Danceworks if the student will be absent from any sessions or services for any reason. This should be done by text or email to the details provided in Section 1 - General Information.


18. For all classes:

a. You are responsible for ensuring that the student arrives on time and ready for the class.

b. You are responsible for ensuring that the student has the correct uniform to take part in the class. Uniform can be purchased at the reception desk (subject to stock availability) or purchased in our online store: https://knt.mydancestore.co.uk/, and must be worn at every session.

c. Students should have their hair in a neat and tidy ponytail or bun.

d. KNT Danceworks does not accept any liability for the loss or damage of personal items (such as mobile phones, jewellery etc.). All belongings should have the student’s name clearly marked.

e. You are responsible for ensuring that the student is supervised at all times outside of the session they are attending.

f. You are not allowed to stay in the same room when the class is in progress unless specifically advised by KNT Danceworks that this is allowed (e.g. during Watching Week).

g. You are not allowed to record audio or video or take photos of any classes at any time unless specifically advised by KNT Danceworks that one or more of these is allowed. You are responsible for ensuring that anybody who brings the student to or collects them from a service is aware of this condition. Breaking this condition may result in you being banned from the studios. Repeated offences may result in the students you are there for being un-enrolled with an additional month of fees charged.

h. No food or drink is allowed in the studios, with the exception of water.

i. From time to time, it will be essential for physical contact to take place between the teacher and student/peers. We always encourage safe practice and support students in doing so.

j. KNT Danceworks cannot be held responsible for any injuries incurred during dance classes. Teachers will ensure that students are learning and progressing in a safe manner.

k. KNT Danceworks aims to provide high quality teaching and enjoyment of dance. We will do this by implementing fun and discipline into our classes. If we feel that a student is being disruptive on a regular basis we will issue a verbal warning. We may speak to a parent/guardian about the matter if it continues.

l. Unruly/disruptive or aggressive behaviour will not be tolerated. If a student or parent/guardian consistently displays unruly/disruptive or aggressive behaviour, they may have their enrolment cancelled.

m. We believe in teaching boundaries and setting a good example in line with our positive ethos to build confidence in our students.

n. Our staff will not tolerate abusive or disruptive behaviour from students or parents/guardians. We will treat everyone with respect and expect the same in return.


Section 4 – Changes and Cancellations

19. To add or change classes:

a. You must contact KNT Danceworks in advance of the next class you want to add/change to.

b. Additions or changes are subject to availability (they may not be possible if a class is full).


20. To cancel classes:

a. You must give KNT Danceworks a minimum of one month’s written notice to cancel a class. Fees are still payable during the notice period.


21. For all changes and cancellations:

a. If the addition, change, or cancellation is not possible for any reason, KNT Danceworks will confirm this as soon as possible.

b. Any additional payment required must be paid in full by the latest of the following options:

i. Within 24 hours of the request being accepted and the amount due confirmed

ii. On the next monthly payment date

c. If no additional payment is required, the addition, change, or cancellation will be confirmed by KNT Danceworks as soon as possible.

d. If the new total payment due is less than the amount you have already paid, you may be eligible for a credit on your account – KNT Danceworks will confirm if this is the case.


22. Any classes that fall under 5 students in total will be subject to being cancelled.


23.In the event of a session being cancelled or rearranged due to conditions that are out of our control, fees will be non-refundable.


Section 5 – Payments, Fees, and Refunds

24. In order for a place to be kept open for a student in our classes, payment is required monthly in advance by subscription only.


25. We are no longer able to accept cash, bank transfers, or any other forms of payment for children’s classes. The subscription system ensures that everyone pays the fees on time – previously, a majority of fees were paid late (sometimes several months after they were due) or not at all.


26. Monthly subscription costs are based on a full academic year of classes and pro-rated over 12 months.


27. Payment will be taken from the account you specify on the 1st of each month. It is your responsibility to keep the account details up-to-date.


28. Failure to make payments on time may result in students losing their place in their classes. If you are having trouble paying, please contact us via the email in Section 1 - General Information.


29. KNT Danceworks reserves the right to make changes to the fees and/or collection date if necessary. If this happens, you will be given notice via email prior to collection.


30. Class fees are reviewed annually. You will be given notice of any changes via email.


31. If any additional fees are required (such as exam fees or costume payments), they will be added onto your next monthly payment amount. You will be given notice via email prior to collection of the additional fees/costs.


32. All fees and payments are non-refundable.


33. All fees and payments are inclusive of VAT.


Section 6 – Additional Information

34. Taking part in shows/performances is a choice, so participation is not compulsory.


35. Promotional pictures and footage will be taken throughout the year during classes and other events. If you choose ‘No’ on the photo consent option when registering/booking on ClassForKids, your child will still be included in photos/videos but their face will be hidden or obscured (e.g. blurring, photos only showing the back of the head, emoji added to cover their face etc.).


36. We may work in collaboration with outside media companies in line with our Data Protection Policy.


37. Our shows/performances will be recorded professionally. Personal cameras and recording equipment are not permitted, and you may be asked to leave the venue if you try to use them.


38. If you are going to be late to collect a student, you must contact the studio to inform us. Late pick-up charges may apply.


39. You can request a copy of the Terms and Conditions at any time by emailing KNT Danceworks.



Terms and Conditions – KNT Danceworks Private Classes

1. Private classes can be requested by contacting KNT Danceworks in one of the following ways:

a. Message one of our social media pages (Facebook or Instagram)

b. Email us at info@kntdanceworks.co.uk

c. Sending a text to 07783 103 037


Please note that you should not directly contact any teachers about bookings.


2. The following styles of dance are available for private classes: Ballet, Jazz, Tap, Contemporary, Commercial, Royal Academy of Dance (RAD) syllabus, wedding dances


3. All messages, emails, or texts you send about booking a private class should include the following:

a. Your availability (i.e. the days/times you would like to have the class)

b. The length of class you want

c. The style of dance you want the class to cover

d. Any specific goals you have (e.g. additional syllabus training for an upcoming exam)

e. Your preferred teacher, if any


4. Private classes must be a minimum of 1 hour. Shorter classes may be accommodated if the teacher’s schedule allows, but they cannot be guaranteed.


5. Private classes are £45.00 per hour, and payment must be made upfront to secure your booking.


6. Once a date/time and style have been agreed, you will be sent a link to book and pay for the class. The system we use to book private classes is called ClassForKids – in order to book, you will need to create an account and then use the ‘Add Child’ feature to add yourself to the account as a student, and you will then select yourself as the student when booking. Please note that you will only need to do this the first time you use the system – the details will be saved for any additional bookings.


7. Failure to book and pay within a reasonable timeframe after receiving the booking link may result in the timeslot being opened up to other people.


8. For cancellations/rescheduling:

a. If you are cancelling or rescheduling with more than 48 hours’ notice, you can choose to reschedule for free, or you can cancel and be refunded the original amount paid minus an admin fee.

b. If you are cancelling or rescheduling with more than 24 hours’ notice but less than 48 hours’ notice, you can choose to reschedule the class for free or cancel and receive a 50% refund.

c. If you are cancelling or rescheduling with 24 hours’ notice or less, no refund will be given and the class will only be rescheduled at the discretion of KNT Danceworks.


9. Rescheduled classes must be the same length as the original booking.


10. Classes can only be rescheduled once. If you are trying to cancel or reschedule a class that has already been rescheduled at least once, no refunds will be given and the class can only be rescheduled in line with clause 8 above.
